Position Summary

The academic program manager maintains and adheres to all ACGME General and Special Requirements and assist the Academic Program Director with preparation of data forms and narrative descriptions for accreditation review, including maintaining the data elements critical to the web-based accreditation system.

 

Department: BHSP Residency OB/GYN

Schedule: Full-time onsite; M-F 40hrs per week

Responsibilities

Essential Functions

  • Provides leadership and direction to residents and staff within the department; able to demonstrate problem solving, decisionmaking skills, organizational skills, attention to detail, and maintain confidentiality.
  • Assist Program Director in coordinating the Clinical Competency Committee (CCC) sessions for the purpose of reviewing and recording each resident’s progress in the ACGME Milestones.
  • Participates in program development and ensures curriculum requirements are met.
  • Demonstrates professional behavior to staff with sound work habits, having thorough knowledge of hospital policies and procedures, and employing proper communication.
  • Promotes teamwork and provides a sense of leadership within the Department and the System.
  • Assist Program Director in coordination of resident quality improvement and patient safety projects.
  • Oversees data input to Resident Management System, New Innovations.
  • Participates in various integral committees within Medical Education.
  • Manages various human resources functions including hiring, work assignments, coaching plans, and performance counseling.
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
  • Maintains compliance with all Orlando Health policies and procedures.

Other Related Functions

  • Responsible for the provision of technical skills such as computer literacy-NRMP, RRC-CAAR, schedules and surveys. Assures continuous quality and process improvement by establishing measurement procedures in conjunction with the goals and objectives of the residency program. Develop networking contacts with other programs within the state and nationally.
  • Prepares, tracks and manages departmental fiscal budget and restricted accounts.
  • Oversees the coordination of the residency program recruitment process for the department. Performs initial screening of residency candidates as applicable.
  • Coordinates departmental match sessions. Enters the final NRMP rank list, maintaining complete confidentially.
  • Evaluates trends in residency recruitment and program development as a quality improvement process.
  • Ensures resident, faculty and staff compliance in all hospital required mandatory education, HCCS, TB testing, Blood Borne Pathogens.
  • Oversees medical student clerkship process.
  • Implements and updates departmental P & P manual as needed.
  • Prepares annual resident operative procedure report for submission to RRC.
  • Serves as the web site content manager.
  • Responsible for preparation of monthly faculty payroll and generation of special pay requests.
  • Prepares all confidential memos, letters, and notes pertaining to residents, teaching faculty, associate faculty and patients.
  • Ensures that any IMG residents submit proper paperwork and receive appropriate work status forms from immigration as needed to continue in program.
  • Completes biannual coaching plan for departmental employees in a timely fashion.
  • Prepares and submits resident Medicare quarterly report for hospital reimbursement.
  • Negotiates grants for support of resident medical education.
  • Prepares Grant application materials.
  • Organizes participation as needed for pending CLER site visits.
  • Oversees preparation of annual resident graduation events including research symposium day presentations and appreciation dinner. Organizes annual departmental resident welcome reception and holiday party.
  • Assists Program Director in the recruitment and credentialing of faculty.
  • Prepares appropriate paperwork for credentialing of residents for outside and away rotations.
  • Reconciles corporate credit card statement and submit to A/P for payment.
  • Prepares, updates, renews affiliation agreements with other programs as needed.
  • Acts as liaison with external organizations and internal departments within the system.

Qualifications

Education/Training

  • Associate degree
  • Education may be substituted with four (4) years directly related experience in addition to the minimum years of experience required as noted in the experience section.

Experience

  • Two (2) years previous experience in healthcare or education environment required.
