Job Summary: Responsible for overseeing all operational aspects (day to day operations, maintenance, and growth) of the Float Team. Assists the Associate Director on a daily basis supporting the departments.

What you will do

• Manages staff * Directs, coordinates training, coaches and oversees employees on the Float Team * Completes and reviews performance evaluations on assigned Employees * Collaborates with Director/Associate Director with problem resolution * Reviews and investigates information related to issues or concerns prior to employee reprimand or staffing changes with Director/Associate Director * Maintains and monitors attendance of staff * Coordinates staffing needs and schedules for departments include PTO requests or staffing shortages * Makes recommendations and changes related to staffing needs * Holds monthly staff meeting for department * Monitors uniform and ID badge compliance * Monitors job description compliance and productivity standards with employees and providers * Addresses and coordinates training needs of department
• Assists in recruiting candidates for open positions * Reviews applications and resumes to select applicants * Conducts screening interviews for Director/Associate Director for open positions * Performs reference checks on prospective employees
• Manages workflow within the department * Answers incoming phone lines and handles messages * Oversees Land o Lakes, Admin 3rd Floor office inventory and generates purchase requisitions * Distributes incoming and outgoing mail * Delivers Access Agreement forms and Termination forms to IT * Produces memos, spreadsheets, forms and letters utilizing various software products * Researches invoices as required by Director/Associate Director * Creates Excel reports as needed * Pulls all invoices required by Director/Associate Director * Prepares mileage form for Director/Associate Director * Does all required scanning * Addresses software, hardware, and phone issues and creates IT tickets if unable to resolve, and monitors ticket statuses daily * Addresses facility issues and creates work tickets for Maintenance * Handles and resolves patient complaints- move to manages workflow
• Manages secure and biomedical waste permits * Work with vendor if additional pick-ups are requested from clinical offices * Review and approve invoices * Ensure yearly renewals are completed
• Manages CLIA licenses * Review and approve invoices * Yearly review of existing licenses * Scan and distribute newly acquired licenses
• Manages interpreter services * Schedule onsite services as needed * Provide technology support to departments * Review and approve invoices
• Manages payroll * Reviews and edits payroll for department * Enters miscellaneous time (i.e. PTO, CME, jury duty, and bereavement time) as needed if available and approved * Approves time sheets for salaried employees * Completes payroll change forms
• Facilitates office communication * Attends meetings as required * Provides flow of information between management and staff
• Manages facility * Addresses facility issues and creates work tickets for Maintenance * Ensures the office is clean and well maintained * Ensures the office is safe by identifying and eliminating safety hazards * Reports incidents, accidents, or injuries to Administration by completion and submission of proper form(s)
• Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state, and local standards.
• Maintains compliance with all Orlando Health policies and procedures.
• Performs all other duties as assigned.
• Maintains an organized and clean work area
• Assists with special projects as needed
• Performs other incidental and related duties as required and assigned
• Participates in maintenance of clinical supplies

Qualifications

• High school graduate or GED equivalent
• Excellent interpersonal and communication skills
• Strong computer proficiency
• Demonstrated ability to lead people and get results through others
• Ability to plan ahead, organize and manage multiple priorities
